Staff Referral Bonus Program >>

Purpose


The competition for talent in our markets is intensive and unprecedented with the lowest unemployment rates in 20 years. In a recent national survey, the use of employee referral programs was rated as the most effective source of quality hires. Referral programs are known for producing talented applicants since employees have a vested interested in ensuring referred candidates are good matches. Referral programs also serve as a mechanism to increase compensation in an activity that supports the medical school’s mission, vision, and values. The medical school has used employee referral programs for “difficult to fill positions” in the clinical enterprise.

 

Definitions


All full-time regular staff positions at the Miller School of Medicine are eligible for the staff referral program, unless otherwise designated ineligible in the posting. Only those who refer external candidates qualify for this program (referrals for currently employed UM employees or temporaries are not eligible).

 

Eligibility


All currently employed regular staff (full or part time) employed at the Miller School of Medicine who have completed their initial probationary period. Temporary staff, those in leadership positions as solely determined by the Medical School and those in a management or supervisory function in the department which would pay the referral are not eligible for this program. Referrals of former employees who left the University during the past 12 calendar months and are returning are not eligible for this program.

 

Program


A $500 bonus (minus applicable taxes and withholdings) is paid to an eligible employee of the Miller School of Medicine for an external person they referred who is hired into a designated position.

Bonuses are paid in two- (2) installments. One-Half (1/2) is paid in the regular paycheck following the date of hire of the referred new employee. The remaining half (1/2) is paid in the regular paycheck following the date when the referred new employee successfully completed their initial probationary period.

The department with the designated position funds the referral bonus.

All payments are paid in regular paychecks and pay cycles, no early payment or special checks will be processed for this program.

In order to receive a bonus payment, both the referring and referred new employee must be employed in a regular staff position at the time of the payouts.

 

Process


All staff positions will be noted in the posting to include the bonus amount, on the medical school’s career website. Any positions that are determined not eligible will be designated ineligible, in the posting as well.

The referred candidate must disclose who referred them on their on-line application at the time they apply for a designated position. The on-line application has a section on employee referrals and if that is selected they must name the employee in order to proceed with their application. No referral bonus will be paid if this is not completed.

Medical Human Resources will review payments under this program to ensure eligibility and required disclosures prior to payments being authorized.

The department paying the bonus is solely responsible for entering the bonus payment into DHRS and notifying Medical Human Resources by completing the Referral Bonus Form (“RFB”) at the time the new hire Interview Summary Form is submitted. The RFB is available on the Medical Human Resources web site under Medical HR forms.

Medical Human Resources is charged with interpreting this policy and their decisions are final. It is recognized that other employee referral programs may exist and are not to be superseded by or in additional to this program. The Medical School reserves the right to discontinue all or parts of this program and/or modify this program at its sole discretion at any time without prior notice.
